Jayde Hanna McGuigan (ABN 31 829 512 762), trading as Jayde Hanna Relationship Therapy (“we”, “us”, “our”), respects your privacy. This policy explains how we collect, use, store and share your personal information, and how you can access it or make a complaint.

We provide relationship therapy, coaching and education services, which means we handle health information. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This policy applies to all of our services, including individual and couples sessions, the Relationship Academy, group programmes, our website, lead magnets and digital products, email list, podcast and social media.

Health and relationship information

When you work with us, you may share information about your relationship, family, children, emotional and mental wellbeing, history and personal circumstances. This is sensitive information under the Privacy Act. We only collect it with your consent and where it is reasonably necessary to provide our services.

This may include information you share about your partner or other people. Please only share what is needed for your work with us.

Session records

Session notes, intake and assessment forms, questionnaire responses, and recordings and transcripts of sessions (see section 5).

Community and programme information

Posts, comments, messages and questions you share in our online communities, and your participation in live group calls, which may be recorded.

Website and marketing information

Information about how you use our website, funnels and emails, such as pages visited, links clicked, device and browser type, and approximate location. This is collected through cookies and similar technologies (see section 9).

2. How we collect it

We collect information directly from you when you:

  • book a call, enquire or fill in a form;

  • sign up for a programme, membership, freebie or our email list;

  • make a payment;

  • attend a session or live call;

  • post or message in our communities or on social media; or

  • visit our website.

If your partner books on behalf of you both, we may receive your information from them. If we collect information about you from someone else, we will take reasonable steps to let you know.

3. How we use your information

We use your information to:

  • provide, deliver and tailor our sessions, programmes and products;

  • prepare session notes, summaries and follow-up resources;

  • manage bookings, payments, accounts and memberships;

  • communicate with you about your services, including reminders and updates;

  • send you newsletters, offers and content, where you have agreed to receive them;

  • run and moderate our online communities;

  • improve our services, website and content;

  • meet our legal, tax and professional obligations; and

  • protect the safety of you and others.

Your sessions stay private. We never use information that identifies you or your relationship in marketing, social media, the podcast or any public content. We may use general themes and common questions that cannot identify anyone. We only share a testimonial or your story publicly with your written consent.

4. Who we share it with

We do not sell or rent your personal information. We only share it as set out below.

People in our practice

People who work in or for our practice, such as administrative support, have access to information as needed for their role. They are bound by confidentiality obligations.

Service providers

We use trusted third-party platforms to run our practice. They store or process information on our behalf:

  • Video sessions and live calls: Zoom

  • Meeting recording and transcription: Fathom

  • Customer management, booking, forms, contracts and email: GoHighLevel

  • Payments: Stripe

  • Online community and course content: Skool

  • Website: Squarespace

  • Email and file storage: Google Workspace

  • Accounting: Xero

  • Design: Canva

  • Website analytics and advertising: Google Analytics and Meta (Facebook and Instagram)

  • Administration and note preparation: AI-assisted tools (see section 6)

Professional supervision

We may discuss our work in clinical supervision or professional development. When we do, we remove details that could identify you.

When the law requires or allows it

We may disclose information without your consent where we reasonably believe it is necessary to lessen or prevent a serious threat to anyone’s life, health or safety, or where we are required or authorised by law, including a court order, subpoena or mandatory reporting obligation.

5. Session recordings

With your consent, we record and transcribe sessions using Fathom. Recordings help us prepare accurate session notes and follow-up resources for you.

  • Recordings and transcripts are kept for 90 days and then deleted.

  • Written session notes are kept as set out in section 8.

  • Recordings are not shared outside our practice and are never used in marketing or public content.

  • You can ask us not to record a session at any time.

Relationship Academy and group programme live calls are recorded and shared with members of that programme only, as set out in the programme’s terms.

6. Use of AI tools

We use AI-assisted tools to support administration and the preparation of session notes and follow-up resources. All work is reviewed by Jayde, and AI tools are not used to make decisions about you.

We take reasonable steps to choose providers with strong security and privacy protections and, where available, use settings that prevent your information being used to train AI models.

7. Storage, security and overseas disclosure

Your information is stored electronically on secure, password-protected platforms with access limited to people who need it. We take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, change or disclosure.

Some of our service providers and team members are located overseas, so your information may be stored or accessed in other countries, including the United States and the Philippines. We take reasonable steps to make sure overseas recipients handle your information in line with the Australian Privacy Principles.

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

8. How long we keep it

  • Session notes and client records: 7 years after our last contact with you, as is standard for health records.

  • Session recordings and transcripts: 90 days.

  • Financial records: as required by tax law, generally 5 years.

  • Marketing information: until you unsubscribe or ask us to delete it.

When information is no longer needed, we securely delete or de-identify it.

9. Cookies and analytics

Our website and funnels use cookies and similar technologies, including Google Analytics and the Meta pixel, to understand how visitors use our site and to show relevant advertising on platforms such as Facebook and Instagram. You can block or delete cookies through your browser settings and manage ad preferences in your Google and Meta accounts. Some parts of our website may not work properly if cookies are blocked.

10. Marketing

We only send you marketing emails if you have signed up or agreed to receive them. Every email includes an unsubscribe link, and you can also ask us to remove you at any time. Unsubscribing from marketing does not stop service messages about a programme or session you are part of.

11. Anonymity

You may browse our website and listen to our podcast without identifying yourself. In live group calls you may use your first name only and keep your camera off. For individual and couples sessions, payments and programme memberships, we need to know who you are.

12. Accessing and correcting your information

You can ask to access the personal information we hold about you, or ask us to correct it, by emailing hello@jaydehanna.com. We will respond within 30 days. In limited situations allowed by law, we may decline access, for example where it would affect another person’s privacy, such as your partner’s. If we decline, we will explain why.

13. Complaints

If you have a concern about how we have handled your information, please email hello@jaydehanna.com. We will acknowledge your complaint within 7 days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

14. Changes to this policy

We may update this policy from time to time. The current version is always available on our website, and the date at the top shows when it was last updated.
